The growing organization Islamic Cultural Circle of Sweden (ICCS) in Fisksätra faced major administrative problems due to unsustainable, manual systems. Digitalo was commissioned to develop a digital platform, resulting in a modern website and a secure internal member portal.
ICCS's vision was a digital hub that could function both as a public-facing window and as a powerful internal tool. They wanted a professional and inviting digital presence that accurately reflected their extensive work and communicated their positive community contributions to the public, members and key partners. At the same time, the goal was to replace time-consuming manual administration with an automated system where members could easily manage their membership and get involved, while the board gained effective tools for handling finances, communication and member records.
To ensure the platform met all needs, a thorough target audience analysis was conducted. Internally, the board needed effective tools for administration, while existing members and parents wanted easy access to information, smooth payment processes and a clear overview of activities. Externally, the platform targeted potential members in the local area seeking a community, as well as partners and authorities who needed a professional image of the organization's work. Finally, the goal was to strengthen the brand towards the general public and increase awareness of ICCS's important role in the local community.
In close collaboration with the ICCS board, several core challenges were identified. Communication was fragmented across multiple channels, causing important information to be easily missed. Administration, especially the management of membership fees and attendance, was manual time-consuming, and not scalable for a growing organization. The organization also had a dual need for both a professional external presence and a robust internal system, which a simple website could not solve. Lastly, there was a clear need to communicate effectively in both Swedish and English to include all parts of the community.
Our solution was to build a cohesive digital ecosystem that met every challenge. We designed and developed two tightly integrated parts: a public website and a custom member portal. The public website acts as the organization's digital face, with a clean, inviting and professional design that builds trust. It clearly presents the organization's activities, features a simple flow for news and events, and is fully available in both Swedish and English to be inclusive.
The heart of the solution is the powerful member portal, built from the ground up to meet ICCS's unique administrative needs. Here, members get a personal dashboard, automated invoices for fees, an event calendar with easy registration, and the ability to manage their own profiles. For the board, the portal offers a complete database for member management, a real-time overview of finances, targeted communication tools, and automated reporting, which drastically simplifies daily work.
The new digital platform has transformed ICCS's operations on multiple levels. The administrative burden on the board has been dramatically reduced, freeing up valuable time that can now be spent on developing the organization's activities instead of on paperwork. By centralizing all internal communication, it is ensured that all members receive the right information on time. The transition to automated invoices has created a more stable economy, and the professional website has strengthened the organization's profile and facilitated collaborations. Above all, the user-friendly portal has increased member engagement by making it easier than ever to actively participate in the life of the organization.
